Position Description
Under the direction of the Guest Services Manager, the Guest Experience Administrator is primarily responsible for the planning, coordination, and/or execution of programs, rentals and special events at The Dawes Arboretum. This is a full-time (40 hour per week) non-exempt position. Evening and weekend hours are required to support our programs and events.
Job Responsibilities
  • Coordinate the assigned aspects of programs, rentals and events by handling bookings, logistics and meetings within budgetary guidelines including reservations, scheduling, permits, contracts, confirmations and setup/cleanup.
  • Responsible for budget related to rentals and events including but not limited to invoicing, receipt acceptance, and purchase orders.
  • Research, schedule and oversee vendors and catering during programs, rentals and events. Manage communications, process invoices and track receipt of payment.
  • Collaborate with internal customers on management of building space and use to accommodate the diverse set of needs across departments.
  • Assist with administrative aspects of programs and events, including but not limited to registration, confirmation and evaluation. Provide post-event/program reports, analysis and recommendations for future programs and events.
  • Plan and conduct program and event committee meetings collaborating with internal and external stakeholders.
  • Perform administrative and customer service related tasks, such as answering telephone, handling or referring calls/e-mails as appropriate. Perform general clerical duties including but not limited to scanning, photocopying, faxing, filing, and ordering supplies.
  • Assist Development department in donor and community events as well as with administrative tasks.
·       High School diploma or equivalent. Associate’s degree preferred.
·       Two (2) years’ guest experience in event coordination and execution; or equivalent combination of education and experience.
·       Strong organizational and communication skills (verbal, written and interpersonal).
·       Demonstrated exceptional customer service skills.
·       Proficiency with Microsoft Office applications as well as web-based programs. Prefer solid working knowledge of Excel 
·       Ability to prioritize and handle multiple tasks while maintaining a high-level of attention to detail and professional quality of work under pressure. 
  • Strong sense of urgency and problem solving skills.
·       Ability to work independently as well as in a team environment.
·       Ability to work indoors and outdoors in various weather conditions.
